Here at Inn at Laurel Point, we are committed to providing our guests and colleagues with exceptional service and using the highest level of integrity in all of our business practices. The following information relates to our policies and procedures for handling personal information, under the Personal Information Protection Act.
The Information That We Collect
To provide our products and services, to our guests, we will request to collect your name, address, telephone number, credit card information and requested accommodation preferences. In addition, other information may be requested to meet your personal comfort requirements in accommodation, to facilitate billing and collection of accounts and ease the process of future stays with us.
For our staff, we will request to collect your name, address, telephone number, social insurance number, and birthdate for Payroll purposes.
How We Manage Your Information
Any information that occurs during your visit with us, such as billing information, faxes or messages is treated as confidential. Credit card numbers are not stored, each time you make a booking you will be asked for your credit card number and expiry date.
Room keys will only be issued to our registered guest and persons that have been noted as pre-authorized to have keys by the registered guest.
Guest room billing folios and replacement keys will only be issued to registered or noted guests after verifying identification.
External inquires for information about a guest’s room number, or arriving and departing dates will not be given out without the guests’ prior permission.
External requests for information or duplicate copies of a group or guest's billing statement will be verified for identification through our accounting department or the manager on duty.
Any information that is supplied to Human Resources is treated as confidential. Information will only be supplied to outside Company’s for business or legal reasons.
External inquiries for information concerning a colleague member, whether it be contact information or earnings will not be given out without the colleague member’s prior permission, either verbal or written.
External requests for information or duplicate copies of documents will be verified, either verbally or written, through our Privacy Officer before submission.
Information about the Inn, our services and our newsletter is available upon request on our website or by contacting the hotel direct. Inn at Laurel Point does distribute marketing material periodically to our database. This database is comprised of email and address information where permission has been granted to receive such information.
We will not disclose guest or colleague information to a third party outside of our company without your consent, unless law or legal process requires it.
Securing Your Information
We take all necessary measures to secure guest and colleague information in our paper file management and onsite computer system.
We provide our employees with on-going training to ensure that guest and staff information is protected against unauthorized access, unnecessary changes or disclosure.
Guests may inquire at the front desk if you wish to dispose of sensitive information during your stay. We will provide a paper shredder upon request. Staff may inquire at Human Resources if you wish to dispose of sensitive information.
How to Access and Correct Information We Maintain About You
Please contact our privacy officers with questions, concerns or if you would like to access your information that we have on file.
The privacy officers will respond to your inquiry within 48 hours of the date the complaint was recorded to be received. All complaints will be investigated and resolved in a timely fashion.
